Notta alternative for recruiters

The Notta alternative for recruiters who write up calls between calls

You run six screens back to back and the write-ups stack up behind them. By the time the hiring manager asks what the candidate actually said about notice period, the detail has blurred into the next call.

Notta Alternative for Recruiters

Superscribe

Stop rebuilding calls from memory

Use Superscribe to capture the words, context, next steps, and time while the work is still happening.

Recruiters rarely have a transcription problem. You have a distribution problem. Everything said on a twenty-five minute screen has to reach three places before the day ends: the ATS record, the hiring manager who skims it, and the scorecard you defend on Friday. Most people looking for a Notta alternative for recruiters are not complaining about accuracy. They are complaining that an accurate transcript still leaves them staring at an empty scorecard at seven in the evening.

Transcription is the easy half. The hard half is that the output has nowhere to go on its own.

Where the write-up actually goes missing

Watch a normal screening day. Four calls before lunch, three after, a hiring manager sync, and two candidates who ring back off-schedule. Between calls you get maybe ninety seconds. Enough to grab water, not enough to write a fair summary of someone’s career.

So the write-ups queue, and the queue is where the damage happens. Not because you forget everything, but because you remember the wrong things. The salary number from the third call attaches itself to the fifth. The exact phrase a candidate used about why they are leaving, the one that would have sold the hiring manager on its own, gets compressed into “wants more ownership.”

The scorecard you file at the end of the day is a reconstruction, and it is the document that decides whether someone gets an interview. That is a lot of weight for end-of-day memory.

Try it on the real workflow

Run your next screening call through it

Answer on your own number as usual. The call comes back as a titled summary with suggested next steps, so the scorecard is half written by the time you dial the next candidate.

What a Notta alternative for recruiters has to fix

Switching tools for a slightly better transcript is not worth the friction. Three things are.

First, capture has to happen where recruiting happens. Much of your day is a plain phone call. Candidates ring back from a car park between shifts, hiring managers call rather than book a slot, and a tool built around meeting links quietly misses them.

Second, output has to arrive structured the way you file. Not a wall of text. A title, a summary, and the things you are supposed to do next.

Third, there has to be an exit route. Notes that stay in a notes app are notes you will retype.

Side by side on a recruiter’s day

What a screening day needs Notta Superscribe Phone
Where the call happens A tool you point at audio and meetings Your own iPhone number, answered as usual. No meeting bot, no new phone system
What comes back Transcript and summary Title, summary and suggested actions, in the language spoken, detected automatically
Turning it into next steps You read and rewrite Call back, add the agreed interview time to the calendar, set a reminder, save an unknown number to contacts, turn a dictated list into a checklist. One tap each
Panel or intake in a room Record the room audio Tap Start meeting, phone on the table, visible recording state, remote panelists dialled in by phone onto the same transcript, speakers separated and named
Where output lands You move it Filed to the right project automatically and pushed to Pipedrive as an activity. Anything else pulls it through the API and MCP
Teams Check their current plans Business Voice adds seats and pooled minutes

Notta ships changes often, so check their current pages. The comparison that matters is not feature count. It is how much typing is left when the call ends.

Workflow, not another inbox

Try it on one full screening loop

Take one role. Run the screens, the intake call and the debrief through Superscribe, and see how much of the scorecard writes itself.

Why I built the calls side first

I am Siim. I built Superscribe because the spoken part of work kept evaporating. The most valuable thirty minutes of my week were on a call, and the only record was whatever I typed afterwards, badly, once the next thing had started.

I could have started with meeting bots. I did not, because the calls I was losing were not on video links. They were ordinary phone calls on my own number. So Superscribe Phone works on the number you already have. You answer normally, nothing joins, and nobody has to install anything to talk to you.

Recruiting made this obvious. If someone runs seven candidate calls a day, the tool does not need to be clever. It needs to hand back something usable within seconds of hanging up, and put it somewhere other than a folder you never open.

A screening day that files itself

The candidate calls. You talk. You hang up.

The call comes back transcribed, with a title, a short summary and suggested actions. Availability, notice period, salary expectation and the reason they are looking, in their own words rather than your paraphrase. The actions are the concrete ones: call back on Thursday, add the interview slot to the calendar, remind yourself to send the job spec, save the unknown number to contacts. Time-sensitive ones appear on the lock screen with buttons, so a callback takes one tap while you walk to the next room.

Nothing fires by itself. Every action waits for a tap, because a recruiting pipeline is no place for a tool with opinions.

For intake meetings and panel debriefs, tap Start meeting and put the phone on the table. Recording state is visible to the room, remote panelists can be dialled in by phone onto the same transcript, and speakers are separated and named when they introduce themselves. The minutes with decisions and follow-ups are ready when the meeting ends, so the hiring manager gets substance instead of two lines.

It is not a phone system. No porting, no extensions, no routing, no replacing your carrier. It sits on top of the calls you already make.

Questions recruiters ask

Does the candidate know they are being recorded? That is your call and your legal obligation, not something a tool decides. Meetings show a visible recording state to the room. For phone calls, tell the candidate the way you already do and follow the rules where you recruit.

Does it work if the candidate speaks another language? Yes. Many languages are supported and detected automatically, so a call in Estonian, German or Spanish still comes back as a usable summary with actions.

Can the notes reach our ATS? Calls and meetings file to the right project automatically and push to Pipedrive as an activity. For anything else, the structured output can be pulled through the API and MCP.

Do it on the next call

Write the scorecard before the day ends

Take your next screening call on your own number, then file the notes from what was said instead of what you still remember at seven o'clock.
