Recruiter meeting notes fail when they preserve the verdict but lose the evidence. “Strong candidate” reaches the ATS. The concern raised by the engineering lead, the example that changed the panel’s view and the condition attached to the next interview do not.
That is common in intake meetings and panel debriefs. Everyone contributes a different piece. One person takes notes, which means that person is listening through a filter and speaking less. The meeting ends with a decision, then somebody spends another half hour trying to turn shorthand into a record that the absent hiring manager can trust.
The useful alternative is not a longer template. It is a source record of the meeting, with speakers separated and the decision linked to what was actually said.

What recruiter meeting notes need to separate
An intake meeting and a candidate debrief contain facts, opinions and decisions. Mixing them makes the final note look more certain than the room was.

This distinction is especially important when a recruiter has to brief someone who was not in the room. A polished conclusion without the discussion behind it invites another meeting.
How Superscribe captures the room
Superscribe Phone is a free iPhone app. In meeting mode, you tap Start meeting and place the phone somewhere visible. The recording state remains on screen. It does not join a video call as a bot and it does not depend on a calendar link.
The transcript separates speakers. If people introduce themselves, their names can be attached to their turns. A hiring manager who is remote can be dialled in by phone and included in the same transcript.
When the meeting ends, Superscribe produces minutes with a summary, decisions and follow-ups. It can suggest a callback, calendar event, reminder, saved contact or Reminders checklist. Every one of those waits for a tap. The app does not draft or send candidate emails or messages.
The visible recording state does not decide whether a meeting may be recorded. The recruiter or organisation remains responsible for disclosure, consent and its own data policy.

Confirm the decision, list the evidence behind it, then flag what the panel did not establish. Use the transcript for disputed wording instead of asking everyone to remember.
Candidate calls fit the same workflow
Recruiting does not happen only in meeting rooms. Screening calls, candidate questions and hiring-manager updates happen on ordinary phone lines. Superscribe captures those calls on the recruiter’s existing number. There is no new number, carrier switch or app for the other person.
After the call ends, it receives a transcript, title, summary and suggested actions. Many languages are supported with automatic detection. Calls and meetings can be filed to the right project and pushed to Pipedrive as activities. For an ATS or another internal system, the data can be pulled through the API or MCP. That requires a workflow; it is not a claim of a direct integration with every ATS.
This gives the search one trail across the intake, candidate conversations and decision meeting. The recruiter still chooses what belongs in the formal scorecard and what may be shared.
Why I wanted speech to be the source
I built Superscribe after repeatedly reconstructing spoken work from memory. The clear explanation happened first. The written record came later and usually lost the details that made the explanation useful.
I had considered a phone app years earlier, then put it aside because it was too hard to make the real call become structured work. After building other voice tools, the missing shape became clearer. A Starlink call from a flight later proved that the workflow could work away from a desk without changing the number people called.
For recruiting, that constraint matters. A capture tool that expects every useful conversation to have a video link will miss screening calls and every meeting held in a room.

Does Superscribe write the candidate scorecard?
It provides the transcript, summary, decisions and follow-ups that a recruiter can use. The organisation still controls its scorecard format and hiring judgement.
Can it identify every speaker automatically?
It separates speakers, and names can be attached when people introduce themselves. Names should still be checked before the record is shared.
Can it send interview invitations?
No. A calendar event or reminder can be suggested, but it is created only after someone taps it. Superscribe does not draft or send messages.
