Recruiter project updates are often a chain of small changes rather than one formal status report. The client adds a requirement. A candidate moves a date. Compensation becomes less flexible. An interviewer raises a concern that changes the next screen.

Each change arrives in a conversation. The search record catches up later, usually after more calls have happened. That is when a precise statement becomes a broad note such as “client wants more experience” or “candidate unsure.” The update exists, but the detail needed to act has gone.

What changed is more useful than what happened

An activity log proves that a call took place. A project update explains what the call changed.

For a recruitment search, that usually means one of these:

  • the role brief gained or lost a requirement;
  • the candidate’s availability, interest or compensation position changed;
  • a concern needs to be tested at the next stage;
  • an interview date or owner changed;
  • the client made a commitment that somebody must follow up.

Keeping the exact wording matters when the difference between “preferred” and “required” changes the shortlist. The summary is useful for scanning. The transcript is where a recruiter checks the sentence before changing the search.

From the phone to the project

Superscribe Phone is a free iPhone app. It captures calls made or answered on the recruiter’s existing number. It does not port the number, replace the carrier or require the candidate to call a new line.

Calls are transcribed after they end. Many languages are supported and detected automatically. Each call receives a title, summary and suggested actions. The available actions are call back, calendar event, reminder, save contact and checklist. They remain suggestions until the recruiter taps them.

Calls and meetings can be filed to the correct project automatically and pushed into Pipedrive as activities. An ATS or another internal system can retrieve the data through the API or MCP. That is the honest boundary: Pipedrive is the named direct destination, while other systems need a configured workflow.

A practical update format

Use the summary for the change, link back to the relevant call, and approve one explicit action. The update should tell the next recruiter what to do without pretending the software made the judgement.

An intake session or panel debrief may happen in a room rather than on a phone call. In meeting mode, tap Start meeting and place the iPhone somewhere visible. Superscribe records the room, separates speakers and can name them when they introduce themselves. A remote person can be dialled in by phone onto the same transcript.

When the meeting stops, the minutes include a summary, decisions and follow-ups. That keeps a changed brief or panel decision with the spoken source instead of leaving one recruiter to translate the room into an update later.

Recording is visible, but disclosure and consent still belong to the people running the meeting and the organisation’s policy.

Why I built around the source conversation

I built Superscribe because I kept seeing useful spoken work become weak written memory. The problem was not typing speed. The system waited until after the valuable part and then asked a person to rebuild it.

The phone app had to preserve the normal call. An extra number, meeting link or special ritual would break as soon as the day got busy. I had set the idea aside years earlier because it was difficult, then returned to it after other voice projects made the structure possible. A business call over Starlink from a flight later showed that the source record could be created even away from a desk.

Recruiting is the same stress test: consecutive calls, multiple live searches and details that cannot safely share one person’s memory.

Human control is part of the product

Superscribe does not write or send candidate messages. It does not decide whether somebody advances. It does not create an interview slot without approval.

It preserves what was said, makes the update readable and puts a small set of actions in front of the recruiter. The person responsible for the search still checks the name, context and audience. That is not unfinished automation. It is the sensible boundary for work involving people.

Does this replace our ATS?

No. Superscribe captures and structures the conversation. Pipedrive has a direct activity path; another system can use the API or MCP.

Are candidate conversations stored only as notes?

The call record includes the transcript and summary, not merely a note written later. Your organisation remains responsible for its retention and privacy policy.

Will it schedule interviews automatically?

No. It may suggest a calendar event or reminder, but nothing happens until the recruiter taps it.
