Example

3 Orchard Rise, Saturday viewing

Buyer

  • Ben and Laura, who viewed on Saturday.
  • Their flat is under offer.
  • Mortgage agreed in principle.

What they liked

  • The garden: it faces south and is much bigger than it looks in the photos.
  • The kitchen extension.

Concerns

  • The third bedroom is really small: a single bed and a desk would be hard to fit.
  • A damp patch in the corner of the bathroom ceiling. They asked whether anyone has looked at it.
  • The road was busier than they expected for a Saturday morning.

Price

  • The asking price of 385,000 feels a bit high to them, with the bathroom and the small bedroom.
  • They would be thinking more around 370,000, but want to see it again first.

Interest

They want to see it again before going further, and asked for a second viewing on Wednesday evening, after six.

Agreed next steps

  • Agree a second viewing on Wednesday evening after six with the sellers, and confirm it to Ben and Laura (Claire, today)
  • Ask the sellers about the damp patch in the bathroom (Claire, today)

Feedback for the seller

The buyers who viewed on Saturday loved the garden, which they found much bigger than in the photos, and they liked the kitchen extension. They found the third bedroom small and the road busier than they expected. They noticed a damp patch in the corner of the bathroom ceiling: could you let me know if it has been looked at? They feel the asking price is a bit high, given the bathroom and the small bedroom, but they would like a second viewing on Wednesday evening after six, if that suits you.

How it works

  1. Paste or transcribe the call

Paste the transcript your phone made, or turn a recording into text with the speech to text tool first. Add the address of the property.

  2. Get the feedback

Claude, the AI from Anthropic, writes what the buyer liked, their concerns, what they said about the price and what they plan to do next.

  3. Copy it where it goes

Paste the feedback into your CRM, and send the seller update by email or text.

What goes in viewing feedback

After a viewing, the agent calls the people who viewed, then tells the seller (the vendor, in the UK) how it went. Sellers want to hear it soon. It is how they know whether the price, the photos and the way the home is shown are working.

The feedback note is for your records: who viewed and their position, such as first-time buyer, cash buyer, mortgage agreed in principle, a property to sell or one under offer. Then what they liked, what put them off, what they said about the price, and what they plan to do next.

The seller update is the part you send. Be honest about the concerns, without blaming anyone. Never name the buyer, and keep their personal circumstances out of it. Their budget, their mortgage and their chain are the buyer's details until they make an offer. Then the offer goes to the seller first: the figure, any conditions, and the buyer's position, as they said them.

Write down what the buyer said, not what you hope they meant. "We'd want to see it again first" is not an offer, and the seller update should not read like one.

Viewing feedback template

The same layout as a blank template, with the seller update at the end. Copy it into a document or your CRM.

Feedback for the seller
If they made an offer, start with it: the figure, any conditions and their position, as they said them. Then a few polite, honest sentences: what they liked, their concerns, and what happens next. Do not name the buyer, and leave out their contact details and personal circumstances. Unless they made an offer, also leave out their budget, mortgage and chain. Do not promise an offer.

Questions

What is viewing feedback?

The note an estate agent writes after a viewing, from a call with the people who viewed: what they liked, their concerns, what they think of the price, and whether they want a second viewing or plan to make an offer. A short version goes to the seller.

Which transcripts work?

Any text of the call in any language: the transcript your phone made, or one from Microsoft Teams, Zoom or Google Meet. Timestamps and speaker names can stay in. If you have a recording, transcribe it first with the speech to text tool: it runs in your browser, so the audio is never uploaded. Up to 40,000 characters, which is about 45 minutes of talk. The feedback comes back in the language of the call.

Does the seller update name the buyer?

No. It says "the buyers" or "the buyers who viewed on Saturday", and it leaves out their contact details and their personal circumstances. When they made an offer on the call, the update starts with it: the figure, any conditions and their position, as they said them. Otherwise it leaves out their budget, their mortgage and their chain, and it does not promise an offer. Read it before you send it.

Is my transcript stored?

Superscribe does not save it or write it to a log. To write the feedback it goes to Claude, the AI from Anthropic, which does not train its models on it.

How many calls can I write up?

Up to 10 a day, and 5 in any 10 minutes. The limit is shared with the call notes generator and the other note tools, so they stay free for everyone.

Can I get this after every call?

The Superscribe app comes close. It records calls on the number you already have, on iPhone, Android or Mac, and writes the call note, the tasks and the CRM entry when you hang up. There is no transcript to paste.
